Procurement Specialist

We are seeking an organized, detail-oriented Procurement Specialist to support purchasing and vendor management for a rapidly growing, multi-location Retail dealership organization.
This position will support day-to-day purchasing activities, vendor coordination, pricing management, purchase orders, procurement reporting, and process improvement across multiple dealership and service locations. The ideal candidate is a proactive, analytical professional who can manage multiple priorities, communicate effectively with vendors and internal teams, and help ensure locations have the products, equipment, supplies, and services they need to operate efficiently.
Key Responsibilities
  • Support purchasing activities across multiple dealership and service locations
  • Process purchase orders, purchase requests, invoices, and related procurement documentation
  • Source products, supplies, equipment, and services from approved and potential vendors
  • Obtain and compare vendor quotes, pricing, availability, and delivery schedules
  • Assist with vendor negotiations and maintain pricing, payment terms, and service agreements
  • Maintain and update preferred-vendor lists and purchasing information
  • Monitor vendor performance, including pricing, delivery, quality, and responsiveness
  • Track orders and follow up with vendors to ensure timely delivery
  • Identify purchasing discrepancies, pricing inconsistencies, and opportunities for cost savings
  • Help consolidate purchasing volume and reduce unnecessary vendor overlap
  • Maintain accurate vendor records, contracts, pricing agreements, and purchasing documentation
  • Partner with Operations, Service, Parts, Finance, IT, Facilities, and leadership to understand purchasing needs
  • Assist with procurement of equipment, supplies, technology, facility services, and other operational requirements
  • Ensure purchases follow company policies, approval requirements, and established procurement procedures
  • Assist with developing and maintaining purchasing policies, procedures, and internal controls
  • Prepare reports and spreadsheets to track spending, purchasing activity, savings, vendor performance, and procurement trends
  • Support budgeting and forecasting by providing purchasing data and cost information
  • Research new vendors, products, and services as needed
  • Help identify supply-chain risks, potential service interruptions, and purchasing inefficiencies
  • Assist with resolving vendor issues, order discrepancies, damaged goods, and invoice discrepancies
  • Continuously identify opportunities to improve purchasing processes, systems, and reporting
  • Provide administrative and analytical support to the procurement function and company leadership as needed
Qualifications
  • Associate’s or Bachelor’s degree in Supply Chain Management, Business Administration, Finance, Operations, or a related field preferred
  • 2+ years of procurement, purchasing, sourcing, vendor management, or related business experience preferred
  • Experience supporting multiple locations or departments is a plus
  • Experience in the Retail Dealships, automotive, dealership, retail, service, or similar industry is a plus
  • Strong attention to detail and organizational skills
  • Ability to obtain, compare, and analyze vendor pricing and purchasing information
  • Basic understanding of procurement processes, supplier management, and purchase orders
  • Strong Microsoft Excel skills and proficiency with Microsoft Office
  • Experience with purchasing, ERP, inventory, or business management systems preferred
  • Strong written and verbal communication skills
  • Ability to build and maintain positive vendor and internal relationships
  • Strong problem-solving and follow-through skills
  • Ability to manage multiple priorities in a fast-paced, growing organization
  • Ability to work independently while collaborating effectively with multiple departments
  • High level of integrity and discretion when handling vendor information, contracts, pricing, and confidential business information
